The basics

What is InstantHuddle?

InstantHuddle gives you one permanent shared room — a Huddle — per client: presence-aware chat, one-tap calls, instant screen share and shared files, all in the browser. Your client joins from a link. No account, no download, no scheduling.

Do my clients need an account?

No. Clients open their Huddle from a link in the browser — desktop or mobile. No download, no signup, no password.

How is this different from Slack or Zoom?

Slack is built for your team; Zoom is built for meetings. A Huddle is built for the space between you and your client: presence-aware, always on, with chat, calls, screen share and files in one shared room. It's not limited to one-on-one either — bring up to 10 people into the same Huddle.

What do the orange and green dots mean?

They're presence — the heart of the product and the logo. Green means someone is in the Huddle right now; orange means they're away. You always know whether “quick question?” can become a call right now.

How do I know when a client is available?

Presence pings notify you the moment someone walks into the Huddle, so instead of booking a meeting you say “I'm in the huddle, come whenever” and talk exactly when availability overlaps.

Can we talk live?

Yes. When you're both in the Huddle, one tap turns chat into a voice/video call — and one more tap shares your screen. Same room, no new link, no lobby.

How long does a Huddle last?

It's permanent. The same link works in week one and week forty — a Huddle is a place that lasts as long as the client relationship, not a meeting that expires.

Starting a Huddle from email

Can I turn an email thread into a Huddle?

Yes. CC new@instanthuddle.net on any email thread and the thread's participants become a private Huddle. We reply into the thread with a join link, and everyone gets a personal link too.

Do the people on the thread need to sign up?

No. The email thread itself is the access list — anyone already on it joins straight from their link, verified by their email address. No account, no password.

Which email providers work?

All of them — Gmail, Outlook, Proton Mail, anything — because InstantHuddle rides on email rather than a walled platform.

Is it safe to CC a bot on a private email thread?

Yes. We read the single email you CC us on — participants, subject and body — to open the Huddle and give everyone a quick summary for context. Access is limited to the thread's participants, we never see your wider mailbox, and we never train AI models on your content.

Privacy & security

Is it secure?

All traffic is encrypted in transit, files are encrypted at rest, and each Huddle is isolated — a client only ever sees their own room. Need SSO or admin controls? Contact sales.

Who can see what's in a Huddle?

Only its members. Every Huddle is isolated to exactly the people in it, and your data is yours — export any Huddle's history and files whenever you like.

What does it cost?

Free is $0 — unlimited clients, unlimited chat kept forever, guest access, calls and screen share, plus QR/link/signature front doors. Pro is $9/month and adds unlimited search history, views, auto-tag rules, unlimited call length, recordings and your brand. Team is $99/month for up to 15 people sharing your client list, with shared views, hand-offs and a shared reception address. See pricing.

Can I cancel anytime?

Yes. Plans are month-to-month, cancel in one click. And your data is yours — export every Huddle's history and files anytime, cancelled or not.
